Description

Administrative Assistant with 3 - 5 years experience for busy construction office.

This position is responsible for overall front office activities, including the reception area, mail, handling incoming calls and visitors, while maintaining office commons area, with the ability to multi task and follow through on assigned tasks.   Must be able to follow directions while prioritizing workload and have a strong attention to detail.  Must have knowledge of Microsoft Office and Excel with the ability to learn new software easily.

The selected candidate must be reliable,  punctual, organized, and have excellent interpersonal skills.  Ensure effective communications both internally and externally to maintain professional image. Pleasant phone manner, data entry, general accounting and construction experience.    Must have the ability to work with multiple sub-contractors and vendors. Process Accounts Payable and Change Orders. Maintain paper files and electronic files.  Greet visitors, answer and forward calls, open and distribute mail, serve as point person for organizing all large mailings, updating various spreadsheets and other general administrative duties as assigned which include ordering office supplies and running errands as needed.

Experience with Foundations and Quantum software as well as an understanding of the construction industry is a plus.
